Manager – Lease Abstraction QA

Job Summary

Visual Lease offers an abstracting service that consists of reading, summarizing and entering key data points from leases (real estate, equipment, etc.) into the Visual Lease software solution for different clients. Quality Assurance (“QA”) consists of reviewing such abstracted work before client delivery so it accurately represents the lease documents, adheres to the client specifications and existing internal abstracting standards, and meets the project deadline.

The Manager of Abstracting & Quality Assurance will manage a team of QA professionals to conduct all QA work for all abstracting projects. Accuracy and consistency in abstracting work is paramount, so this must be the focus of this position. QA scores will be tracked for all incoming work to provide insight on training needs for each abstractor. Meeting project deadlines is also extremely important, so it is essential to be organized, detail oriented, efficient, and process-oriented. Understanding how to change the QA process to better meet quality standards and deadlines is critical. The ideal candidate will be a partner to the abstractors and a reference for best abstracting practices while providing positive, constructive feedback when work product is not in compliance.  The Manager of Abstracting & Quality Assurance reports to the Director of Data Services.

General Duties

  • Quality Assurance
    • QA new leases and any other lease abstracting projects as needed
    • QA all sample leases completed for new clients and track feedback on initial abstracts
    • Peer level QA as needed
    • Portfolio level QA (using reporting and other tools) as needed
  • Quality Assurance Process Management
    • Oversee QA team of 3-5 direct reports (initially)
    • Continuously review QA process for improvement and refinement
    • Use creativity, experience in the field and mastery of the Visual Lease software to build layered QA solutions
  • Quality Assurance Queue Management
    • Project manage all QA projects so that deadlines are met
      • Assign QA work to direct reports
      • Review project deadlines at inception and throughout the project to determine if deadline should be updated
      • Communicate any exceptions or changes to project to Director of Data Services
    • Manage workload of QA team based on team work schedule


  • 6+ years of Commercial/Retail Lease Administration and/or Lease Audit experience
  • 2+ years of experience developing and managing processes
  • Exceptional attention to detail
  • Superior proof reading skills
  • Priorities and Deadline Management
    • Needs to be able to set deadlines and manage them as needed
    • Must be able to prioritize work and understand that priorities may change quickly
  • Excellent oral and written communication skills
  • Experience with entering financial entries into lease administering software required; into accounting software ideal
  • Proven ability to develop relationships with team members, cross functional partners, and clients
  • High School Diploma/Associates Degree
  • Bachelor’s Degree preferred
